As Office Manager, you will resolve routine administrative problems and oversee the smooth and efficient operations of our 325+ and growing employee office, consisting of seven suites, six kitchens and 41,000 square feet. You will also direct and manage the Office Assistants.
This is a hands-on position that includes responsibility for the oversight of the following:
- Purchasing & Inventory
- Manage purchasing function for all office related supplies, toner and furniture, evaluate prices and review monthly expenses for variances, errors, etc.
- Negotiate best prices with vendors to procure all necessary materials and services
- Maintain vendor relations
- Research options and order any non-standard items
- Facilities
- Office security
- Liaise with building management to resolve service requests, maintenance and parking issues
- Oversee outside services (cleaning, plants, etc.)
- Manage both on and off site storage
- Coordinate internal moves
- Manage conference rooms
- Manage Floor Warden Program
- Expedite and coordinate maintenance/repairs
- Miscellaneous
- Oversee management of parking and Metro programs
- Coordinate and order food for office meetings and in-house company events
- Provide training and guidance to Office Assistants
- Participate in the planning and execution of employee events
- Back up Office Assistants and HR Coordinator
- Insure compliance with health and safety policies
Qualifications:
- Must have 5+ years previous experience in office administration and/or facilities and/or big box retail
- Must be able to work independently and proactively organize operations in a fast-paced environment as well as handle and anticipate the administrative needs of the office
- Must have the ability to communicate effectively, make decisions, solve problems and quickly adapt to changes in the work environment while managing competing demands, frequent changes and unexpected events
- Must be self-motivated and directed and able to prioritize and manage numerous tasks at one time and to raise issues proactively and in a timely manner.
- Previous experience with coordinating and executing moves and inventory management
- Supervisory experience required
- Must be able to follow-up with staff and be very detail-oriented
- Ideal candidate should be able to visualize a project from beginning to end
- Good verbal, written communication skills and computer skills are essential including Proficiency in Microsoft Word, Excel and Power Point
